Before jumping into customization, take a moment to think about how you want to organize your Digital Contact Log. Do you prefer sorting by grade level, teacher, or individual student? Do you need to track specific types of contacts, like parent calls, outside agency meetings, or attendance interventions? Once you’ve got a general idea of how you want to structure your log, it's time to start setting it up! The following steps will walk you through customizing your header, file name, tabs, and dropdown menus, so you’ll have a fully functional and organized contact log ready to go. Step 1: Customize the Header and File Name


  1. Open the Digital Contact Log template.


  2. Double-click the header and enter the school year (e.g., 2026-2027 Contact Log).


  3. If applicable, update your title, whether you're a counselor, school social worker, psychologist, interventionist, or another role.


  4. Rename the file in Google Drive and move it into your organizational folder for easy access.

Step 2: Organizing Tabs by Grade or Classroom


Depending on your case load, you may want to organize your log by grade level, teacher, or classroom.


  • Grade-Level Organization: This is helpful for folks overseeing multiple grades (e.g., Pre-K-5 counselors).


  • Classroom Organization: If you only work with a few specific classes, you can rename the tabs to reflect individual teachers.



How to Customize Tabs:


  • Rename a tab: Right-click the tab > Rename


  • Delete a tab: Right-click > Delete


  • Duplicate a tab: Right-click > Duplicate


  • Reorder tabs: Click and drag to move the order of tabs

Step 3: Customizing Dropdown Menus for Teachers and Concerns

To make logging interactions more efficient, the contact log includes dropdown menus for teachers’ names and concerns. These menus can be customized to fit your specific needs.



Editing the Teacher Dropdown:


  1. Click the dropdown arrow in the teacher column.


  2. Click the pencil/edit button to modify names.


  3. Enter the names of all teachers for that grade level and/or classroom.


  4. Delete extra names if needed or add more by clicking “Add another item”.


  5. Choose custom colors if desired.


  6. Click “Apply to all” to ensure changes are saved across the sheet.

Customizing the Concern Dropdown:


  1. Click the dropdown arrow in the concern column.


  2. Use the same steps as above to modify concerns based on your school’s most common needs (e.g., academic, social-emotional, attendance, medical, behavioral, etc.).


  3. Apply changes across the sheet to ensure consistency.


💡 Pro Tip: Using shorter teacher names (e.g., just last names) can help save space when printing.

Step 4: Searching and Filtering Contacts


With hundreds of logged interactions, it’s essential to have quick ways to locate specific records. Google Sheets offers multiple ways to search, sort, and filter your log.



🔍 Option 1: Quick Search


  1. Press Ctrl + F (Windows) or Command + F (Mac).


  2. Type a student’s name or keyword.


  3. Use the arrows to scroll through search results.



🔍 Option 2: Filter Data


  1. Click the filter icon (looks like a funnel) at the top of any column.


  2. Uncheck “Select all”, then select a specific name, teacher, or concern.


  3. Click OK to view only the selected data.


  4. To restore the full log, click the filter again and select “All”.



🔍 Option 3: Sorting Data Alphabetically


  1. Click the column header (e.g., Student Name).


  2. Right-click and select “Sort A-Z”.


  3. All records will now be listed alphabetically

Step 5: Printing Individual Student Reports


At the end of the school year or when preparing for meetings, you may need to print individual student logs. Here’s how to do it efficiently:


  1. Click the student’s name in the log.


  2. Hold Shift and press the down arrow to highlight all the rows for that student.


  3. Go to File > Print.


  4. In the print menu, select “Selected Cells” instead of “Current Sheet.”


  5. Adjust settings for page breaks if necessary.


  6. Click Print to generate a hard copy for documentation.


💡 Pro Tip: Use text wrapping to ensure all notes are visible on printed reports. Click the text wrapping icon and select “Wrap Text” to prevent cut-off text. Don’t make the columns too wide, as you want to fit them onto one page in landscape orientation.

Step 6: Restoring Previous Versions (Backup & Recovery)


If you accidentally delete or overwrite data, Google Sheets’ Version History can restore an earlier version.


  1. Click File > Version History > See Version History.


  2. Select a previous version from the list.


  3. Click Restore This Version to recover lost information.
